
Please note that work orders that are sent during regular business hours (Monday – Friday 7 a.m.-3:30 p.m.) are typically submitted that day. However, if a work order is sent after hours, it will be submitted the following business day. If an emergency occurs, or you need immediate assistance, please contact Campus Safety at 269.337.7321.
FMX Maintenance Requests
FMX will create a unique ID for each maintenance request when created. This is your work order number.
Your work orders can be viewed, edited, and even responded to all within the site. Press the Work Order Request button or to go kzoo.gofmx.com
If you have questions about an existing work order, please do not enter an additional work order. Please respond to the related work order in FMX.
To create a new maintenance request, please follow the instructions below.
- From the Maintenance Requests module page, click on the New Request button in the upper right-hand corner of page.
- Fill out the maintenance request form with the required information; these are fields that contain an asterisk (*).
- *Request Type: This refers to the category of maintenance request. Example: Electrical, Heating-Cooling, ect.
- *Request: This is the title of the maintenance request or work order. Please keep this short and concise.
- *Building: This is the building where the work order needs to be completed.
- *Location: This refers to the specific area in the building where the work order needs to be completed.
- On behalf of: If another user requested the work order but didn’t directly enter the request in FMX, select their name in here. This person has to have logged into FMX previously.
- Equipment: select any fixed assets that are associated with the work order
- Followers: If you’d like to add any other users as followers to the work order (like copying someone on an email), select their name here. Followers have the ability to receive progress update notifications. This person has to have logged into FMX previously.
- *Description: a detailed summary of the problem and the work that needs to be completed on the Maintenance Request. Please be as complete as possible when explaining the problem and give a realistic descriptor of the magnitude. Hyperbole makes it more difficult to prioritize work. We know everyone’s request is important, please do not call a drip a flood.
- GL Account Code: This is a 13 digit General Ledger Account Code. This is required for certain work orders like Key Requests, Name Plate changes, ect. Repairs do not require this.
- Attachments: if the work order needs any documentation submitted (photos of the issue, etc.), you can add those files here
- Once you have completed filling out the form, click the Submit button at the bottom of the page.
Please use the systems below in lieu of sending e-mails to individual staff members. These are monitored by multiple people and are much more likely to yield an efficient response.
Repair and Maintenance: If some part of a building is not working properly and needs to be repaired, please use the Work Request system. Anyone with a Kalamazoo College network log-in can use the same credentials to submit a request. You will receive an e-mail when the request is assigned. Please be as complete as possible when explaining the problem and give a realistic descriptor of the magnitude. Hyperbole makes it more difficult to prioritize work; we typically have over 500 open work orders. We know everyone’s request is important, please do not call a drip a flood.
Event Set-Up: Please list your needs with your EMS room reservation when you book the space in the Book-a-Room Calendar. Do not enter a separate work order request for event set-ups. Due to the time sensitive nature of these requests, it is much easier for the support team to get this information from the daily event calendar. If the space is not available in the room booking application, please reach out to room.booking@kzoo.edu or by calling 269.337.7138 to reserve the space.
If you require additional cleaning or other custodial support for events, please be sure to indicate this on your EMS reservation.
* Work orders requesting event set-ups will be rejected. Please use the EMS calendar for all your event needs. *
Vehicle Rentals: Please use the vehicle reservation form to request a rental. Reservations must be made a minimum of (5) business days prior to the scheduled trip. Service vehicles are not available for rental, please submit a work request if you need help moving something. If you have any questions regarding vehicle or bus usage and availability, please email fmvehiclerequest@kzoo.edu.
Emergencies: Emergencies are events that threaten life-safety, cause significant property damage, or inhibit basic services. If you have an emergency, please call the Facilities Management offices at 269-337-7308 between 7am – 3:30pm or Campus Safety after hours, and they will contact the correct responder.
Capital Improvements: If your request involves making a building modification, adding new equipment, or making an upgrade of significant cost or complexity, please route these requests to your division Vice President. These will be added to the capital plan and prioritized for resources.
